PRIVACY NOTICE

This notice explains what I do with your information: when you visit this website, when you get in touch, and when you become a client. I have tried to write it in plain language rather than the usual wording, because a privacy notice nobody can read is not really doing its job.

WHO I AM

I am Shelley Seymour, and I run Somatic Frequency, a somatic therapy practice in Brighton & Hove. I am the data controller for the information described here, which means I am the one responsible for it.

WHEN YOU VISIT THIS WEBSITE

This site uses no analytics, no advertising and no tracking. Nothing follows you around, and I collect no statistics about your visit.

Two things load from Google: the fonts the site is set in, and the map. When they load, Google receives your IP address, as happens on most websites. The map also sets Google’s own cookies. If you would rather avoid that, most browsers let you block third-party cookies, and the site will still work.

My web host keeps standard server logs, which include IP addresses, for security and troubleshooting.

WHEN YOU GET IN TOUCH

If you email me, or use the form on this site, I hold what you send: usually your name, your email address, and whatever you have written. I use it to reply to you and nothing else. I keep enquiries that do not lead to sessions for 12 months and then delete them.

Booking is not yet taken online. When it is, this notice will be updated to say who handles it and what they see.

WHEN YOU BECOME A CLIENT

This is the part that matters most, because health information is treated as special category data under UK GDPR. It has stronger protection than ordinary personal information, and I handle it accordingly.

What I hold: the details on the client information and consent form, plus the notes I make during our sessions.

Why: to work with you safely, and to keep an accurate record of your care.

The lawful basis: your explicit consent, which you give when you complete the form.

Who sees it: only me. Nothing is shared with anyone else without your written permission, unless I am required by law to do so, or there is a serious risk to your safety or someone else’s.

How long: records are kept for seven years after your last session, then securely destroyed. If you were under 18 when I saw you, they are kept until seven years after your eighteenth birthday.

Everything discussed while we are working together stays confidential. In group sessions, nothing that could identify anyone is repeated outside the group, and I ask the same of everyone who attends.

WHO ELSE IS INVOLVED

I use a small number of services to run the practice. Each one only ever sees what it needs to do its job.

My web host: hosts this website, and keeps standard server logs including IP addresses.

Google Fonts and Google Maps: provide the fonts the site is set in and the map, and receive your IP address when those load.

Google Workspace: runs my email, and holds anything you email me.

Your session notes are not held in any of these. They are kept separately, and are not part of the website.

YOUR RIGHTS

You can ask to see the information I hold about you, ask me to correct anything that is wrong, ask me to delete it where I am not required to keep it, withdraw your consent at any time (which will not affect anything already done), or ask for a copy of your information in a portable form.

Email me and I will deal with it. I will respond within one month, and there is no charge.

IF YOU ARE UNHAPPY

Please tell me first, at hello@somaticfrequency.co.uk, and I will do what I can to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. You do not have to raise it with me first.

CHANGES TO THIS NOTICE

If I change how I handle information, I will update this page and change the date at the top.
